Overview
We are hiring a Senior Administrative Operations Manager to oversee the day-to-day operations of the Mexico City office of a well-established U.S.-based international law firm headquartered in Texas. This firm specializes in legal, project management, and technical support services, primarily for government entities. Known for its integrity and high performance, the firm is now expanding its presence in Mexico with a strategic focus on grant writing and operational support.
This is a high-impact leadership position suited for a bilingual professional (English/Spanish) with strong administrative and operational experience in international environments, ideally in the legal sector.
Key Responsibilities
Lead and support a team of grant and contract proposal writers, ensuring team efficiency and motivation.
Oversee daily administrative operations, including payroll, attendance, and compliance with internal policies.
Manage schedules, meetings, and key deadlines to ensure operational flow.
Coordinate office maintenance, utilities, and vendor management in collaboration with local providers.
Supervise IT systems and ensure technological continuity and troubleshooting.
Maintain and optimize document management systems and filing protocols.
Oversee procurement and inventory of office supplies and equipment.
Draft, edit, and manage internal communications and documentation.
Ensure alignment with home office standards and foster a positive, collaborative work environment.
Candidate Profile
Bilingual proficiency in English and Spanish (verbal and written) is mandatory.
Proven experience (6+ years) in administrative or operations management, preferably in an international or legal setting.
Experience leading teams and managing cross-functional office processes.
Strong organizational, multitasking, and interpersonal communication skills.
Tech-savvy and comfortable with scheduling software, digital tools, and remote coordination.
Experience working with or for U.S.-based organizations is a strong asset.
A postgraduate degree (Master’s or higher) in Law, Business Administration, or related field is required.
